Upload Offline Users

To upload users from Viewpoint Offline 4.2 you need to:
  1. Connect to the internet.
  2. Log in to Viewpoint Online (www.vptol.co.uk) as a Manager.
  3. Open the "Upload Users (4.0 & 4.2)" Screen
    Click on the "Upload Users (4.0 & 4.2)" option in the "Offline 4.0" section of the menu at the left hand side of the screen (circled in RED on Fig. 1.).

    The "Upload User Questionnaire Responses" screen will be displayed (see Fig 2.).

  4. Select the Responses.off File
    The 'responses.off' file contains all the user responses that were submitted using Viewpoint Offline 4.2 (and 4.0). To upload this either:
    • Type in the location of the 'responses.off' file in the box next to the 'Browse' button.
      OR
    • Click on the 'Browse' button; the 'Choose File' window will then appear. Navigate to the C:\Program Files\Viewpoint\Offline\V4 folder (OR any other folder containing the responses.off file). Click on the 'responses.off' file and click on the 'Open' button. The 'responses.off' file will be listed in the box next to the 'Browse' button (See Fig.2).

  5. Click on the 'Upload' button
    (See Fig. 2) to start the upload process.
  6. Automatic File Deletion (Conditional)
    If your computer is configured to allow for automatic deletion of your locally created (data.off, responses.off and report.off) files, i.e. ActiveX and scripting is allowed, you will be prompted to choose whether or not you wish to have this done. (See Fig. 4.)

    1. If you chose "Yes" from Fig. 4 (above), you'll be presented with a confirmation of your selection. (See Fig. 5.)

    2. If you chose "Yes" from Fig. 5 (above), you'll be presented with a confirmation of the deletion. (See Fig. 6.)

  7. The 'Upload Summary Report' Screen
    The 'Upload Summary' screen will appear upon successful upload. Otherwise you will be notified of any errors. Observe this screen carefully and confirm that it reports what you expect. This report SHOULD be saved and/or printed for your records.

    1. If you chose to automatically delete your locally created files (data.off, responses.off and report.off), you will be presented with an upload summary similar to Fig. 7.

    2. If you chose NOT to automatically delete your locally created files (data.off, responses.off and report.off), you will be presented with an upload summary as below. This report can take on two forms. In both cases, make a note of or copy the 'Manager Login Number' (circled in RED in Fig. 8. below) as this MUST be used later, as described below. Also, pay attention to the Status report for each user and ensure that the correct number of responses that you think should have been uploaded is reported.

      1. If NO anonymous users were created locally, the report will appear similar to Fig. 8.

      2. If anonymous users WERE created locally, the report will appear similar to Fig. 9.

      The only difference between the two reports is that the latter (Fig. 9.) reports as well on what locally created anonymous users have been created as on the Viewpoint system (circled in RED in Fig. 9. above). If BOTH ordinary and local anonymous logins were uploaded, the summary will look as in Fig. 8., with the 'Offline' and 'Online' login ids being identical for ordinary logins.
  8. Deleting Locally Created Files
    In order for Viewpoint Offline 4.2 to operate properly, it MUST create some (local) files on your computer. Before using Viewpoint Offline 4.2 again, these files MUST be first deleted. To do this:
    1. Start up Viewpoint Offline 4.2 as described in the Using Viewpoint Offline 4.2 user guide.
    2. Type in OR copy and paste the number (manager login Id) given in the 'Upload Summary Report' (circled in RED in Fig. 8. above) into the 'Login' id field (See Fig. 10. below) and click on 'Login'

    3. The 'Manager Features' screen will be displayed (see Fig. 11). Click on the 'Delete the Data file and Responses file' (circled in RED in Fig. 11. below) option.

    4. A message confirming the success of this operation will then be displayed (see Fig. 12). Click on the 'Logout' (circled in RED in Fig. 12. below) option to complete the process. If this message is NOT displayed, retry, if this situation persists, contact Viewpoint.
